Key Responsibilities:
- Administrative Support:
- Provide comprehensive administrative support to the General Counsel and the legal team.
- Manage calendars, schedule meetings, and organize appointments to ensure optimal time management.
- Prepare and edit correspondence, legal documents, and presentations as required.
- Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
- Group Administration:
- Assist in the preparation of the legal team's budget.
- Track expenses and ensure adherence to budgetary constraints.
- Organize and maintain electronic and paper filing systems, ensuring documents are easily accessible.
- Assist in preparing reports, agendas, and meeting minutes for the legal team.
- Communication and Liaison:
- Act as a liaison between the legal team and other departments or external partners.
- Screen and direct phone calls, emails, and correspondence to the appropriate parties.
- Facilitate effective communication within the legal team and with other stakeholders.
- Confidentiality and Compliance:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Ensure compliance with company policies and procedures, as well as legal and regulatory requirements.
Qualifications:
- Proven experience in an administrative or secretarial role, preferably within a legal environment.
- Strong organizational skills and the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills in both English and Chinese.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with legal terminology and processes is an advantage.
- High level of discretion and confidentiality.
- Ability to work independently as well as part of a team.
- Strong attention to detail and problem-solving skills.
- Previous experience supporting senior executives or legal professionals is desirable.
