Key Responsibilities:

  1. Administrative Support:
    • Provide comprehensive administrative support to the General Counsel and the legal team.
    • Manage calendars, schedule meetings, and organize appointments to ensure optimal time management.
    • Prepare and edit correspondence, legal documents, and presentations as required.
    • Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
  2. Group Administration:
    • Assist in the preparation of the legal team's budget.
    • Track expenses and ensure adherence to budgetary constraints.
    • Organize and maintain electronic and paper filing systems, ensuring documents are easily accessible.
    • Assist in preparing reports, agendas, and meeting minutes for the legal team.
  3. Communication and Liaison:
    • Act as a liaison between the legal team and other departments or external partners.
    • Screen and direct phone calls, emails, and correspondence to the appropriate parties.
    • Facilitate effective communication within the legal team and with other stakeholders.
  4. Confidentiality and Compliance:
    • Handle sensitive and confidential information with the utmost discretion and professionalism.
    • Ensure compliance with company policies and procedures, as well as legal and regulatory requirements.

Qualifications:

  • Proven experience in an administrative or secretarial role, preferably within a legal environment.
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills in both English and Chinese.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with legal terminology and processes is an advantage.
  • High level of discretion and confidentiality.
  • Ability to work independently as well as part of a team.
  • Strong attention to detail and problem-solving skills.
  • Previous experience supporting senior executives or legal professionals is desirable.
