You’ll focus on using business software applications to prepare reports, receiving and directing incoming calls or emails to the appropriate parties, arranging business travel, tracking expenses, and coordinating meeting arrangements.

Job Description & Responsibilities

  • Provide full spectrum of secretarial support and administrative support to partners, directors, and team members;
  • Schedule, coordinate and organize events such as conferences, meetings and team activities as needed for internal and external stakeholders;
  • Coordinate and manage partner, director's diaries including internal and external client meetings, establish manageable timeframes, determine purpose of meetings and follow-up actions;
  • Handle business travel needs including itinerary, accommodation and transportation for domestic and international travel;
  • Process billing, WIP, reimbursement matters, expense claims etc.;
  • Greet and handle phone calls tactfully and skillfully.

 

Requirements

  • Bachelor’s degree holder;
  • 3 years or above secretarial experience, preferably gained from multinational companies;
  • Excellent command in verbal and written skills in English and Chinese, including Mandarin;
  • High level of responsibility, i.e., being careful in carrying out the responsibilities, keeping stakeholders updated on the assignment progress, able to meet deadline, willing to work overtime when required;
  • Ability to prioritize and simultaneously handle multiple tasks; and practical problem-solving skills;
  • Self-motivated, detail-minded, well organized and a team player with good interpersonal and communication skills;
  • Proficiency in Microsoft Office skills, including Word, Excel and PowerPoint.
